Critical Guidelines & Common Pitfalls
Passing Certificates
- Many students forget the Passing Certificate for Class 10 & 12.
- If not collected then visit your school or Board.
- Get it collected and also uploaded on Digilocker.
Biometric Photo Rules
- Size: 3.5 cm x 4.5 cm (Width x Height).
- Face: Must cover 70-80% of the photo.
- Background: Plain White or Light Grey only.
- Freshness: Not older than 6 months.
State Boards & DigiLocker
- DigiLocker often fails for State Board documents.
- Don't wait for the rejection email.
- Action: Visit your State Board Office.
The 'No-Staple' Rule
- Never staple documents. Use paper clips only.
- Reason: High-speed scanners get damaged.
- Format: A4 Size Only.
- Color: All photocopies must be in Color.
Professor Verification
- Email: Must use official university domain (e.g. @annauniv.edu).
- No Gmail/Yahoo: Personal emails trigger long manual delays.
- Action: Inform them to expect an email from @aps-india.de.
Payment & Receipts
- Print the CCAvenue/Bank receipt.
- Write Student Name & APS ID on the receipt manually if paid by parent.
- Attach as the 2nd document in the stack.
Translation Mandate
- Required if certificate is in Regional Language only.
- Must be a Notarized English Translation.
- Submit both: Copy of Original + Translation.
Notarization Policy
- General: No notarization needed for English docs.
- Exception: MANDATORY for Regional Language translations.
- Bilingual Docs: No notarization required.
Fatal Mistakes
- Blurry Scans: Instant delay.
- Late App: Apply 6 months before.
- No Tracking: Docs get lost.

Mandatory: You must send Color Photocopies (A4 Size) of all uploaded documents via courier/post.Do not send original certificates.
